Southwest’s Friendly Airport Agents Can Cost You Money—Change Your Flight In The App Instead

Southwest’s free same-day flight change has a seat fee trap. Airport same day changes make separately purchased seats nonrefundable. Website, app and phone exchanges preserve that payment or trigger a refund, depending on the replacement seat’s price. You can be standing in the terminal, looking at the same replacement flight, but don’t talk to the agent! You’re better off with self-service. Those famously friendly Southwest agents come at a cost. For separately purchased seats: Change at the airport: the original seat purchase is nonrefundable. Website, app or telephone replacement seat costs the same or less: the payment carries over, without any difference refunded. Website, app or telephone more expensive replacement: pay the full new price. With limited exceptions, the old purchase is refunded to the original payment method, separately. You Need To Qualify For A Confirmed Change Free confirmed same-day changes require an available seat, the same origin and destination airports, and the same travel date. Make the change at least 10 minutes before your original scheduled departure. Choice, Choice Preferred and Choice Extra fares qualify, as do Getaways by Southwest vacation bookings. Basic economy customers have to upgrade their fare first even as A-List and A-List Preferred members. Partner itineraries aren’t eligible. Standby is different: you’re waiting for space on an earlier flight, rather than confirming the replacement immediately. Paid seats become nonrefundable when standby clears, including through the app. Elite members on Basic can qualify for standby even though they can’t make a free confirmed change on that fare. List at least 30 minutes before your original scheduled departure using the app or mobile web, or 10 minutes before it in person. A Credit For A Seat Can’t Buy Another Seat One September traveler reported paying about $230 for seats for a trip with their wife, then cancelling and rebooking after a medical emergency. They expected the seat credits to buy new seat upgrades, but the credits were only usable for airfare. Voluntarily cancel at least 10 minutes before original scheduled departure and the seat payment becomes airfare-only credit, for travel completed within 12 months of the original seat purchase. I’ve already covered Southwest displaying different prices to different travelers for the same seat. Customers now need to track the seat purchase separately from the ticket itself, including what happens when either changes. When Southwest downgrades you to a lower seat category, it promises to refund a separately purchased seat to the original payment method. When you exchange two paid connecting seats for a nonstop or direct (same-plane) flight, a replacement costing more than one or both originals triggers only one automatic refund. You need to request the second. Topics on this page
