American Airlines Updates Vouchers For Stranded Passengers—But Tells Employees There May Be Fewer Hotel Choices

American Airlines is updating how stranded passengers get hotel rooms, meal credits and rides during flight disruptions. An internal November memo I reviewed lays out automatic offers for eligible overnight delays and a new way for agents to arrange Uber rides without making passengers download the app. It also warns that employees may see fewer hotels to choose from. Getting passengers out of the customer service line and into a room sooner is great for getting sleep. On a recent American Airlines flight from New York to Austin that was cancelled after a long delay I didn’t even bother getting into the long line at the gate for a room voucher, I just booked something myself nad went on my way. What American Is Changing The update covers American’s Hotel, Meal and Transportation system, which employees call HMT. October 26: standalone meal credits. Agents can issue food and beverage credits for individual reservations affected by qualifying delays, cancellations and missed connections. The system uses flight information to evaluate eligibility and tells agents what qualifies. October 27: automatic offers for eligible overnight delays. The system sends hotel offers and applicable food and beverage credits when its eligibility and automation criteria are met, reducing the need for an employee to initiate the offer. Planned Uber Central rollout. At participating airports, authorized agents would arrange a ride on the customer’s behalf through the same system. The passenger receives a text message or WhatsApp link to start the ride, without downloading Uber. This should now be available but I haven’t seen passenger reports of the broadly available rollout yet (though customers reported it in limited release previously). Hotel inventory changes, date undetermined. American is changing the hotel inventory feed and selection process. Employees are told they may see fewer hotel choices. Automatic Vouchers Already Exist American has been working on this for years. I covered the electronic hotel and meal system in 2019, when agents still had to qualify customers and trigger offers. American was already describing automatic hotel, meal and transportation vouchers in 2025. This spring, they added meal issuance for an entire flight at once. In June, automatic meal vouchers expanded beyond elite members to all AAdvantage members. American’s January app changes already brought disruption assistance together: Their published customer service plan promises, upon request, an approved hotel for an overnight disruption they cause away from your city of residence, transportation there and back, and a food and beverage credit after a qualifying delay of at least three hours. The standard meal voucher I’ve been covering is $12. American recently renamed it a “food/beverage credit” because calling it a meal voucher led passengers to expect it to pay for a meal. How The Uber Change Works American already offers Uber vouchers. The change lets an agent arrange the ride for the passenger. Uber Central supports rides paid for by the business, with trip details sent to the customer. However, American’s instructions still put the hotel shuttle first, followed by an Uber voucher. Uber Central is for exceptions when those options don’t meet the customer’s needs. One passenger reported being at Washington National when agents refused Uber vouchers because a hotel had a shuttle even though it wasn’t running at 1 a.m. Fewer Hotel Choices Isn’t Great The memo’s most concerning sentence is: Frontline teams may see fewer hotel choices displayed than they are accustomed to seeing. Being able to choose a hotel matters. I’ve covered passenger complaints about unsuitable rooms and missing shuttles. Here’s a passenger who said the hotel floor was so dirty they spread sheets over it. If American can’t provide an approved hotel voucher, its customer service plan promises reimbursement of reasonable hotel costs. Its conditions of carriage also say reimbursement isn’t guaranteed when you book directly without written authorization. Credit card trip protections may reimburse required hotel overnights as well.
